Introduction to Workflows

Workflows are automated processes in your CRM that can create tasks or send emails based on certain criteria. Please note that this is an advanced feature in the CRM and can only be edited by the System Administrator. The CRM has many workflows setup for you. There are a variety of marketing drip campaigns setup and automatic loan process updates. All of these workflows can be customized, plus you can create your own. Many of the tasks you normally assign, the emails you regularly send, and other record updates that are part of your standard process can be setup to happen automatically from the CRM.
 
Workflow automates the following types of actions based on your processes:
  • Tasks—Assign a new task to a user, role, or record owner.
  • Email Alerts—Send an email to one or more recipients you specify.
  • Field Updates—Update the value of a field on a record.  
For example, workflows can:
  • Assign follow-up tasks after a new lead is entered into the CRM.
  • Send an automatic thank you for the referral when a contact is created.
  • Send an alert to another user when a certain step in the loan process is completed.  
Each workflow rule consists of:
  • Criteria that trigger the workflow rule to run.
  • Immediate actions that execute when the workflow is triggered.
  • Time-dependent actions that queue after the workflow has been triggered, and execute according to set time triggers.
