Create, Clone, and Edit Email Templates

Your CRM comes with many templates ready for you to use, organized into different folders to make them easier to find. The most popular folder is Jungo Templates where you will find such templates as the Blank Letterhead, Just Moved to a New Company, and other everyday emails. In your "Campaign" folders, you will find each template that gets sent out in the related drip series. You may see multiple versions of the same template in a marketing campaign folder. Those versions refer to the visuals in the templates; the content of the email is the same. Other helpful template folders are Holiday Series, Birthday Emails, Thank You Notes, and Other Templates.

The CRM has hendreds of pre-populated Email Templates for you to use, but you can also add new Email Templates to the list.
 
To create a new HTML Email Template using Letterhead:
  1. Click on the Email Templates link in the Custom Links box in the side bar on the left (in Classic) or the bottom utility bar (in Lightning).
  2. Click on the New Template button.
  3. Choose HTML (using Letterhead).
  4. Click the Next button.
  5. Choose a folder in which to store the template.
  6. Check the Available For Use checkbox.
  7. Enter an Email Template Name.
  8. Select a Letterhead from the pull down menu.
    -  Most of your templates use the “My Letterhead" option.
  9. Select an Email Layout.
    -  We recommend the Free Form layout. Click the View Email Layout Options to see all the options.
  10. Enter the Description for the Email Template.
    - This will display in the Activity History of the contact when sent as a Mass Email.
  11. Click the Next button.
  12. Enter a Subject in the Subject box to appear in the email you send.
  13. Enter the text for the Body of the email.
  14. Use the Formatting toolbar to change the font, size, colors, etc.
  15. Use the Available Merge Fields toolbar to insert merge fields in the Subject or Body.
  16. Click the Next button.
  17. Click the Save button.

Sometimes the easiest way to create your own email template is to clone an existing one. Whether you are cloning Blank Letterhead for its general layout and merge fields or another template that has similar wording to what you are looking for (maybe the Needs List?), cloning a template is a quick and easy way to make an email template you can re-use whenever you need it.

How to Clone an Email Template
  1. Click on Email Templates in the Custom Links section of the Home page sidebar (in Classic) or the bottom utility bar (in Lightning).
  2. Click on the template you wish to clone
  3. Click the Clone button
  4. Choose a folder for your new template
  5. Make sure to check the box Available for Use
  6. Erase the name and unique name. Type the name of your new template and click to the unique name to generate it.
  7. Click Save
  8. Click Edit HTML Version to make changes to your new template (don't forget to save them!)

The Email Templates are the same for all the users in your CRM. If you are the Primary User or the System Administrator, or if the System Administrator has granted you access, you can edit the email templates.
 
To edit the Email Templates:
  1. Click on the Email Templates link in the Custom Links box in the side bar on the left (in Classic) or the bottom utility bar (in Lightning).
  2. This will bring you to the list of Email Templates.
    -  Change the Folder pull down at the top of the page to see the templates for different Marketing Campaigns or the Automated Emails during Loan Process.
  3. Click on the Email Template Name to view the template.
  4. Click on the Edit HTML Version button at the top of the page.
  5. Scroll Down a little, and make your changes.
    -  Edit the Subject line.
    -  Edit the text for the body of the email.
    -  Use the formatting Toolbar to change the font, size, colors, etc.
  6. Click the Save button.
    NOTE: You may also need to edit the Text version of the Email Template.
  7. Click on the Edit Text Version button at the top of the page.
  8. Click the Copy text from HTML version button.
  9. Click the Save button.
TIPS:
-  We recommend leaving the text version blank because this will be automatically created based off the current HTML version when the email is sent.
